We’ve all heard it before, “I’ll be there in five minutes.” or “just give me five more minutes.” Everyone always throws around five minutes even if it’s going to take them 10 or 15 minutes. Throwing five minutes around annoys me. Maybe it’s the producer in me because I’m used to being very precise with time. I’ve been known to have meetings at odd times like 4:37 or 12:23 because I know exactly how long it will take me to get somewhere and every minute counts.

But if you’re smart enough, you can spend those “five minutes” actually doing something really productive. Five minutes is a very valuable chunk of time — if you know how to use it correctly. Here’s a list of things you should use those extra five minutes doing:

1. Prioritize and prepare: Before you go to bed each night, take five minutes to jot down the most important activities that you need to get done tomorrow. This will help you schedule your time appropriately and be productive from the start of your day. Once you have created your list, look through it and identify any ways you can make each task a little easier. If you’re planning on going for a run in the morning, lay out your workout clothes the night before to save you time when you wake up. Not only will this be time efficient, but this will also encourage you to follow through with your workout plans!

2. Refine your list: It’s easy to get caught up in miscellaneous tasks throughout the course of the day. If you find yourself straying from your ‘to-do list’, take five minutes to rework your list. Keep it as simple as possible—if you take on a new task; replace it with a different task on your list. This way, you won’t be taking on more than you can handle. And don’t be afraid to say no when necessary!

3. Limit your media consumption: From cell phones, to social media, to e-mail, it’s easy to get distracted. In order to ensure that you do not stray from your priorities, take five minutes to download apps, such as “AwayFind”, which will send an auto-reply text message stating that you are currently busy. It will also provide emergency contact information just incase. This eliminates the social distractions in your life and allows you to focus on what’s important so you can check another thing off your ‘to-do list’.

4. Clean out your closet: If your clothes drawers are so stuffed that you can’t close them, take a five minutes to give one drawer a once over. Pull everything out, set a timer and get rid of any items you do not use.

5. Eliminate any junk mail: If your email inbox is overflowing with messages, it becomes difficult to find that important email from a few days or weeks ago. Take five minutes to clear out any unneeded messages or spam from your inbox in order to make your account easier to manage. Next time you go to look for an old e-mail, it will be much quicker to find.

Hopefully, the five minutes you took to read these steps will buy you five extra minutes in the future!

Is Binge Watching Hurting Your Productivity?

“Binge Watching” = The act of consecutively watching television shows online for hours.. many, many, hours.

I’ve fallen victim to this illness various times, and I know I’m not alone! I mean how can you not binge watch when Netflix has every episode of the best shows ever  – including one of my personal faves Breaking Bad?  Even ABC Go dedicated an entire week of their online service to binge watching. They posted all of their shows’ seasons, which they have never done before.

As awesome as it is to catch up on a show or throw yourself into an entirely new one, this “addiction” can seriously get in the way of your productivity. Because episodes continue one after the other you can totally lose track of time and the next thing you know you’ve been sitting on your couch for six hours.

So here is my list on how to balance your binge watching and your to-do’s!

1. Make It A Game: When I know that I have things to do, but I am dying to catch up on my shows I make a little competition with myself. I set my goals for the day and then I will reward myself with an episode or two if I accomplish all my work. Two or three checks off my to-do list equals admiring Michael C. Hall (Dexter) for an hour. Not a bad payoff, huh?

Make Scheduling Appointments Easier

Scheduling appointments and meetings can get confusing when there are multiple people involved. There’s always a few people who can’t meet the same time or day, and it can take multiple emails and phone calls to finally decide the best time.

With the help of technology, it comes as no surprise that there are tools out there that can help make scheduling important meeting and events a lot easier.

Doodle: This website is so simple and is perfect for scheduling anything from a hang out with the girls, to a business meeting. With the FREE version you select “time proposals,” which are just a few dates along with times for people to choose from. The site creates a poll, which you can email to your friends or colleagues to see what works for their schedule. The results will end up with a meeting time that everyone can make. You can also sync these to your calendar automatically. Doodle also has a premium account that will send automatic reminders, see who is missing from meetings, and more! (Basic plan = free. Uncommonly Productive Tasks

Twenty-four hours is not nearly enough time to accomplish your daily routine while still having time for yourself. If you are not a naturally productive person, it can be hard to get into the habit of allotting your time correctly for all your to-do’s. If you attempt to be a super star of productivity, you can get frustrated and burnt out fast! Trust me – it takes some trial and error to see what works best for your needs.
Recently, I came across a Forbes article that lists 24 ways to be uncommonly productive.

Here are 5 of my favorites:

1. Get up an hour earlier: The early bird gets the worm as the saying goes! I know the snooze button is easy to hit but getting up a little earlier everyday can help you be more productive. Whether it be reading the newspaper and enjoying a cup of coffee, finishing a pitch for work, or doing that last load of laundry, your day starts out with crossing SOMETHING off the to-do list. Check out what the most successful people do before breakfast!

2. Avoid meetings at all costs: Impromptu meetings, unless totally necessary are a waste of time and energy! You will not be prepared and the things you want to accomplish will most likely not get done. Having a schedule of weekly meetings is the best way to go – even during the meetings you should have a set schedule of talking points and goals.

3. Take a proper break – after one or two hours take 10-20 minutes to dance to your fave song, do some push-ups, or get out in the fresh air.  You always need to give yourself a break to refocus your energy. Working on a task for too long can burn you out.  Madonna (another fellow list maker) is great to jam out to when you need a break.

4. Don’t answer your phone: This is also one of my mottos. I NEVER, I repeat never, answer my phone during the work day unless I have scheduled a phone call (I even have a YouTube video dedicated to it). If it’s really important that person will leave a message. You don’t want to get stuck in a conversation for a half hour that is not on top of your priority list or that you’re unprepared to have.

5.  Ask yourself “Is what I’m doing right now getting me closer to what I want to achieve?” I think this would be great to put on a Post-It note on your computer, or as the background of your phone. It’s a simple reminder to keep focused on what really needs to be done throughout the day!

Get More Done By Speed Reading

With only 24 hours in a day, finding time to get everything done in our hectic lives is really a challenge. Each day I find new articles, books, or little tidbits that I am dying to read but they just end up collecting dust in a pile on my counter or get lost in one of my cyber folders – what a waste!  I’ve started using a new system to capture some of the tweets and articles I want to read later but it’s not enough. It’s hard enough to read what I need to (especially now that I am attending B-School) and it’s frustrating that I have no time to read for fun.  But recently, I thought… “What if I could speed read?” that would solve this problem, right?

Speed reading is a technique that allows you to obtain the material you are reading in half the time as normal by reading groups of words at once. It may seem strange and it’s a little intimidating at first, but it really works !

Here are two tools that I found for quick and easy speed reading:

ReadQuickApp: This app displays an article (no books) of your choice one word at a time at the pace you are comfortable with. You can start at the slowest speed and gradually move on to get used to the technique! It will also tell you how long an article will take you to read based on your words per minute. (Cost $9.99 and is available for the iPhone)

Spritz: Want to read a whole novel in 90 minutes or less? Well now you can with Spritz. This app works by displaying one word at a time with a “fixation point.” One letter of the word is a different color and that is where you focus your eye. This allows you to focus on the word individually and obtain it, rather then moving your eyes side to side – this leads to distraction. This app can train you to read up to 1,000 words a minute – that is some serious speed reading! (Comes out around March 21st for Android, Javascript for web, and iOS. Test it out on their site here.)

If you can’t get into the speed reading that’s okay- it’s not for everyone! There are other ways to cut down reading time by using some old fashioned skimming techniques:

Yahoo News Digest (formerly Summly): No time to read lengthy news articles? This app will summarize them for you. Each story is created from multiple news sources that way you are consuming the essential information. You get all the important stuff without wasting your time! And it’s free!

Need 2 Know: This awesome free newsletter gives you “Need 2 Know” news coverage! It’s one of the first things I read in the morning.  They consider themselves the CliffsNotes for news. In each news category they sum up everything you need in 1-2 sentences. Want to know more details later – no worries, they provide the links for the full coverage.
